Qualification and skills most often required
|

Selon les responsabilités dans l’entreprise, le diplôme d’études collégiales (DEC) ou l’attestation d’études collégiales (AEC) en techniques de bureautique ou le diplôme d’études professionnelles (DEP) en secrétariat sont habituellement exigés. La maîtrise de la grammaire, de la ponctuation et de l’orthographe est nécessaire. La connaissance des principaux logiciels de bureautique (Excel, Word, PowerPoint, etc.) est nécessaire. L’utilisation accrue de nouvelles technologies nécessite une mise à jour continue des connaissances. La débrouillardise, la minutie, la discrétion et le sens de l’initiative sont des qualités recherchées. La capacité de travailler sous pression et d’apprendre rapidement ainsi que le respect des échéanciers sont également des caractéristiques recherchées. L’expérience est un atout. Le bilinguisme peut être exigé.

Le roulement de la main-d’œuvre et les départs à la retraite créent aussi des possibilités d’emploi. Les secrétaires exécutives et les secrétaires exécutifs sont recherchés en raison du soutien que ces personnes apportent au personnel de bureau, de la diversité des mandats importants qu’elles remplissent ainsi que du soutien à la fois technique et logistique qu’elles fournissent aux membres de la direction.

Main duties
|

| Secretaries perform some or all of the following duties: |
| - Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material from shorthand, machine dictation and handwritten copy using computers |
| - Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with other departments and organizations |
| - Schedule and confirm appointments and meetings of employer |
| - Order office supplies and maintain inventory |
| - Answer telephone and electronic enquiries and relay telephone calls and messages |
| - Set up and maintain manual and computerized information filing systems |
| - Determine and establish office procedures |
| - Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person |
| - Record and prepare minutes of meetings |
| - Arrange travel schedules and make reservations |
| - May compile data, statistics and other information and may conduct research |
| - May organize conferences |
| - May supervise and train other staff in procedures and in use of current software. |
